Lesson 6 · The same thing, seven ways

Register shifting

Turning one content into the version a particular reader and text type expects.

Not started

Take one piece of content: the project is late because there were problems with the supplier. Nothing about the facts changes across the versions below. What changes is who is named, how compressed the explanation is, and how much of the writer is visible.

RegisterVersion

Four dials do almost all the work: who appears (ich / wir → the thing itself), how compressed the explanation is (clause → phrase), which words are chosen (später dran → Verzögerung), and how certain the claim sounds (ist → dürfte).

  • Wir haben das Angebot noch nicht geschickt, weil wir auf Zahlen warten.

We haven’t sent the offer yet because we’re waiting on figures.

personal, verbal, explicit — an email to a colleague

  • Die Übermittlung des Angebots erfolgt, sobald die erforderlichen Zahlen vorliegen.

The offer will be sent as soon as the necessary figures are available.

impersonal, nominal — the writer has vanished

Going up in formality: replace everyday verbs with nouns, turn causal clauses into prepositional phrases, remove modal particles, and let the process rather than a person be the subject. Going down: restore a subject, unpack the nouns into verbs, and say plainly who does what.

Informal wordFormal equivalent
kriegenerhalten
reden übererörtern / besprechen
kaputt seindefekt sein / ausgefallen sein
sich kümmern umbearbeiten / veranlassen
sagen, dassmitteilen, dass / darauf hinweisen, dass
später dran seinsich verzögern
nachfragensich erkundigen
Bescheid gebenin Kenntnis setzen / informieren

More formal is not better. An over-formal message to a close colleague reads as cold or sarcastic, and a casual sentence in a report reads as unserious. The target is fit, not height.

Report register has two habits worth knowing on sight. zurückführen auf attributes a cause without blaming anyone: ist auf … zurückzuführen. And seitens + genitive names the side something came from: seitens des Lieferanten — noticeably more distant than vom Lieferanten.

  • Die Verzögerung ist auf Lieferprobleme zurückzuführen.

The delay is attributable to supply problems.

sein + zu + Infinitiv: a cause stated, no one accused

  • Seitens des Lieferanten wurden keine Zusagen gemacht.

No commitments were made on the supplier’s part.

  • Der Lieferant hat nichts zugesagt.

    The supplier didn’t promise anything.

the same content, with an agent and a spine

Spoken presentation register is its own thing, and it is not simply formal writing read aloud. It keeps short main clauses, signposts out loud (dazu drei Punkte, und zwar), and prefers wir to the passive — because a listener cannot re-read a sentence.

Sehr geehrte Frau Berger, ich wollte mal nachfragen, ob das schon durch ist.Sehr geehrte Frau Berger, ich wollte mich erkundigen, ob der Antrag bereits bearbeitet wurde.

The salutation sets a register the rest of the message has to keep. Mixing a formal opening with chat vocabulary is the most common register failure in real correspondence.

Hi Tom, bezüglich deiner Anfrage erfolgt die Bearbeitung zeitnah.Hi Tom, ich schaue mir das morgen an.

Downwards mismatches are just as jarring. Officialese to a friend sounds like a joke or a brush-off.
